Job Description
Maintenance Planning & Scheduling Coordinator (Lindsey) Provides maintenance planning and scheduling support, using structured maintenance work processes (including maintenance work orders, job plans, schedule governance and lookahead planning), also provide transactional coordination activities that support execution
Core Responsibilities
• Manage ODM workflow in SAP, planning of revision week set by the Area Leader.
• Support MTL and Discipline Supervisors with planning of high priority work
• Responsible for ensuring all MoC’s (as required) are progressed through the system. Assign notifications ‘TEVA’ technical evaluation and then remove when MoC is approved.
• Produce detailed job packages for all work orders for relevant area of responsibility as per the Best Practice Guide in the Maintenance Manual.
• Ensures work orders including PPM / PSSR / IWR are planned ready for scheduling to meet the business needs.
• Work closely with central scheduling to establish and define Area / Refinery resource levels.
• Routing high-cost orders >£5K through the Discipline Superintendent for verification & approval.
• Facilitate backlog and planning list reviews for duplicates, aging work orders with Area Leader & Discipline Supervisor.
• Support large unplanned events as directed by the Discipline Supervisor. Produce required work lists to support job activities for day and night shift work.
• Facilitate area weekly planning and scheduling meeting, rough cut meetings. Monthly backlog reviews and PSSR / PPM look ahead with Area Leader & MTL or Discipline Supervisor.
• Assists with coordination of specialist contractors.
• Key contact for BOM amendments.
• Ensure task lists are reviewed and updated.
• Coordinate weekly PLAN, RTSC list with BU’s and discipline planners.
• Track materials identified by the ’WAMA’ process and update work orders 'RTSC' when materials are delivered.
• Coordinate offsite overhauls and repairs of critical / repairable spares.
• Coordinate Temporary repairs for relevant area of responsibility.
• Support structured maintenance planning and scheduling governance including creation/maintenance of a weekly schedule with a 4‑week lookahead and integration into a planning schedule.
• Steward/enable end‑to‑end routine maintenance work process steps as the standard approach (e.g., Work Notification & Prioritization; Screening & Approval; Planning; Plan Approval; Backlog Management; Scheduling; Execution; Documentation & Closure) to ensure planned work is progressed through execution and close‑out.
• Where workstreams interface with additional schedules, support coordination so planned work is integrated appropriately (e.g., routine planning managed via SAP and then integrated into a P6 schedule in related planning contexts)
• Proactively support other team members as part of a self managed team.
Education Requirements/Key Skills
Relevant engineering trade background.
Knowledge of contract administration and management.
Plant reliability, inspection and maintenance experience.
Demonstrated ability to achieve goals and objectives.
Strong written and oral communication skills. Ability to communicate effectively with all employees and contractors.
Balances short and long-term tasks
Specialist knowledge in the use of SAP PM & PS modules & proficient in MS Office Skills.
Detailed knowledge of Maintenance Planning ‘Best Practice’
Specialist knowledge in the use of Primavera P3 & Planning & Estimating.
